[Check-in] Confirm the Estimated Time of Arrival During Pre-check-in

During pre-check-in, you can confirm the guest’s [Estimated Time of Arrival].
This section explains how to set it up, check the time, and make use of this information.

This feature requires the purchase of the optional Check-in Premium Plan.

Setup Method

1. Go to [Admin Console][Property List][Select the property][Check-in Settings][Pre-Check-in Flow] ≫ ≫ [Fill In Guest Information] click the [✎ Edit button], and turn on [Estimated Time of Arrival].

2. Set [Is This Information Required?] and [Latest Arrival Time Of Guests], then save the settings.rmation required?] Set the [Last customer arrival time] and save.

Latest Arrival Time Of Guests

  • Set the latest arrival time to be displayed in the list of selectable options for “Guest’s Final Arrival Time.”

  • The selectable times range from the check-in time configured for the property up to 6:00 AM the following day.


How to check

Check from the Reservation Details page.

The estimated arrival time entered during advance check-in will be reflected in [Dashboard] >> [Check-in Management] or [Booking Calendar] >> Booking Details Screen [Room Info] >> [Estimated Time of Arrival].

Check from Cleaning Task

Go to [Dashboard] → [Cleaning Management] → [Cleaning Task], and the Estimated Time of Arrival will be reflected in the [Next Booking] and [Checkout Cleaning Information] for the corresponding cleaning task.

Check from Cleaning Tasks via CSV Data

When exporting cleaning tasks as a CSV file, the Estimated Time of Arrival will be reflected in the corresponding column.


Important Note

  • If you are using IoT lock integration, the key’s active period is based on the check-in time, and is not affected by the Estimated Time of Arrival.
    If you want the key’s validity to align with the entered expected arrival time, go to [Reservation Details] → [Room Info … More Options] → [Edit] → [Check-in Time] and make the necessary changes.

  • Until the check-in time, guests can change their Estimated Time of Arrival themselves via the pre-check-in URL.

  • In the PMS, the Estimated Time of ArrivaL cannot be edited directly. However, if the guest has already completed pre-check-in, they can still modify the expected arrival time themselves using the pre-check-in URL.


How to use

  • You can adjust staff assignments and cleaning schedules based on the Estimated Time of Arrival.

  • By checking the [Estimated Time of Arrival] and modifying the [Check-in Time] under [Reservation Details], you can continue to use the “Pre-check-in” function until that time. You can also adjust the activation time of IoT locks accordingly.

  • Guests can freely change their expected arrival time up until the set check-in time.
    Adding a note in the guest form, such as:

“To change your expected arrival time, tap the Pre-check-in button, update the time, and complete the process again. Your previously entered information will be saved.”

This can reduce the need for back-and-forth communication with guests about arrival times. (Once entered, the information remains saved, so there’s no need for re-entry.)
