[Report] Pre Check-in Report

Overview

In the Pre Check-in Report, you can view a list of guests’ access status to the pre check-in page, as well as the completion status of pre check-in and payment.

You can filter and extract guests who have not yet completed the required steps. Based on completion rates and access rates, this report can also be used to measure and improve the effectiveness of automated message delivery.

💡 This feature was released on July 19, 2024.

For reservations created before this date, access data for the pre check-in page and the guest registration (guest list) collection status will not be reflected.


Detail

How to Access


You can access this report from either the Dashboard or the Reports section.

From the dashboard

■ Dashboard > Monthly Self Check-ib Analysis> Pre-Check-in Link Visited

The dashboard displays the monthly number of visitors to the Pre-Check-in URL.

※Clicking it will take you to a detailed report.

Check from the Reports Section

■ Reports > Production Report > Pre-Check-in Page View

  1. Select the guest’s arrival date.

  2. If you only want to display guests who have visited the Pre-Check-in URL, set “Visited PreCheckin” to “Yes.”

  3. You can then view a list of guests who have visited the Pre-Check-in URL.

Note:

  • On the same report, you can also check the status of guest form entries and payments.

  • If the click rate for the Pre-Check-in URL is low, consider improving the content of the message.

  • This is a new feature released on July 19, 2024, and only counts the number of times guests clicked the Pre-Check-in URL after the release. Therefore, data for users prior to this date will be empty.


Items You Can Check

The Pre Check-in Report allows you to view both summary information showing the overall status of the report and detailed information for each reservation.

💡 Only reservations created on or after July 19, 2024, are included for tracking pre check-in page visits and guest list completion.

Aggregated Information (Overall Status)

You can understand the progress of pre check-in from an overall perspective.

By using the number of visits and visit rate, you can evaluate the effectiveness of your pre-arrival guidance initiatives.

Total

The total number of reservations scheduled for check-in within the report period.

Number of Pre Check-in Page Visits

The number of guests who actually accessed the pre check-in page via the URL sent through automated or manual messages.

Rate

The percentage of guests who accessed the pre check-in page compared to the total number of reservations.

Reservation Information (Details per Reservation)

For each reservation, you can check whether the guest has accessed the pre check-in page and the status of their payment.

Year

The calendar year (AD).

Week

The week number based on ISO 8601 (international standard).
Weeks start on Monday, and the first week of the year is defined as the week containing the first Thursday of the year. Therefore, dates in late December may be displayed as week 1 of the following year.

Arrival

The guest’s check-in date.

Reservation Site

The name of the booking site (OTA).

Reservation Number

The booking reference number.

Property

The property name.

Room Type

The name of the room type.

Room Number

The name/number of the room.

Guest Name

The guest’s name.

Guest Form is Filled

Indicates whether the guest has completed the pre check-in form.

  • Yes: Completed

  • No: Not completed

Guest Bill is Paid

Indicates whether the payment has been completed.

  • Yes: Completed

  • No: Not completed

Visited Precheck - in

Indicates whether the guest has accessed the pre check-in page.

  • Yes: Accessed

  • No: Not accessed


Filterable Items

By using the filter function, you can efficiently extract guests who require pre-check-in actions or reservations that need to be reviewed.

Arrival

You can specify the period for the check-in date.

  • The maximum selectable period is one month.

Visited Precheckin

You can filter based on whether the guest has accessed the pre-check-in page.

  • Yes: Accessed

  • No: Not accessed

Is Guest Form Filled?

You can filter based on whether the guest has completed the guest form.

  • Yes: Completed

  • No: Not completed

Is Guest Bill Paid?

You can filter based on whether the payment has been completed.

  • Yes: Completed

  • No: Not completed


Export (CSV)

The pre-check-in report can be exported in CSV format.

By exporting the report as a CSV, you can save its contents and use it for management or analysis in other systems or spreadsheet software.

The exported CSV will reflect the same reservation information as displayed on the screen, based on the applied filters.

⚠️ Note: The summary information (overall status) will not be included in the CSV.


Frequently Asked Questions (FAQ)

Q. Can I open the reservation details directly from the Pre-Check-in Report?

A. No, you cannot open reservation details directly from the Pre-Check-in Report.

This report is designed to provide an overview of the progress of pre-check-ins.
To maintain consistent operation across reports, the system does not allow direct navigation from the report screen to the reservation details page.

If you want to check reservation details or send messages to guests, please follow these steps:

  1. Copy the reservation number from the Pre-Check-in Report.

  2. Go to [Reservation Management] > [Check-in Management].

  3. Search for the corresponding reservation using the reservation number.
