[Cleaning Management] Cleaning Task Screen Overview & Operation Guide

Overview

The "Cleaning Tasks" page allows you to view and manage a list of cleaning tasks automatically generated based on your reservations.

You can also manually create tasks as needed. This allows for centralized management of assigning personnel, tracking progress, and monitoring daily work status, helping to streamline on-site operations.

What is a Cleaning Task?

A cleaning task is a unit of cleaning work management that is automatically or manually created and linked to a reservation.

Each task contains information such as:

  • Cleaning date

  • Assigned room (property, room type, and room number)

  • Assigned cleaner

  • Check-in / check-out information

  • Cleaning status (e.g., Unassigned, Pending Cleaning, Completed)

  • Next reservation information (e.g., whether there is a same-day check-in)

  • Comments and handover notes

This allows you to quickly understand when, which room, by whom, and in what status a cleaning task is being handled.

Additionally, if there is a check-out and check-in on the same day, the task is automatically identified as a high-priority turnover task.

Permission Notice

Users with the Cleaner role cannot view cleaning tasks that are assigned to other cleaners.


Access Method

Navigate to:

[Dashboard] > [Cleaning Management] > [Cleaning Tasks]

You can access the Cleaning Tasks screen from this menu.

Display Item

Description

Cleaning Date

The date the cleaning is to be performed.
(Also serves as a link to the Cleaning Task Detail screen)

Current Booking

Name of the guest checking out on the cleaning date / Check-out time

Next Booking

Name of the next guest checking in / Check-in time

Room Info

Property name, Room type, Room number

Cleaner

If a cleaner is assigned → Cleaner’s name
If no cleaner is assigned → “-” will be displayed
Tasks assigned to other cleaners are not visible to users with Cleaner permissions

Status

Cleaning Type

Stay Cleaning or Check-out Cleaning
Same-day check-out/check-in cleaning is marked with a ★ star symbol

Cleaning Task Status

Cleaning tasks can have one of the following six statuses, depending on their progress. Some statuses may be updated automatically based on user actions or reservation changes.

By checking the status, you can easily track cleaning progress and identify any tasks that require attention or follow-up.

Status

Description

Unassigned

A cleaner has not yet been assigned to this task.

This status is automatically entered if no cleaner is set.

Pending

Assigning a cleaner will automatically change its status to this.

Confirmed

The cleaner has completed the pre-cleaning check the day before.

This status is changed manually.

Ready to Clean

The cleaning has not yet been carried out.

The reservation will automatically change to this status once it has been checked out.

Cancelled

Cleaning is no longer required.
This will be automatically updated if a reservation is canceled, or you can change it manually.

Completed

The cleaning is complete.


Filter / Narrow down

You can filter the cleaning tasks displayed on the page using the following criteria:

You can specify a period.

Status

You can select a status. (Multiple selections are possible)

* By default, all statuses except "Cancel" are selected.

Cleaner

You can select an assigned cleaner. (Single selection)

* Hidden for users with cleaner privileges.

For account owner, admin, manager, and staff privileges.

In addition to the filters mentioned above, you can specify even more detailed conditions using the [Filter] option.

Here, the filter options differ depending on the selection made in the facility selection box.

Review and edit cleaning tasks.

You can view the details of a cleaning task by clicking on it or by going to [...] > [View Details].

The following information can be found on the details page:

Property Info

  • Property name

  • Room type name

  • Room number

  • Property Address

  • URL of the cleaning manual

  • URL for the cleaning checklist

Next reservation information

(Displayed when cleaning is done upon checkout)

  • Next reservation check-in date

  • Check-in time for your next reservation

  • Number of nights for the next reservation

  • Number of guests for the next reservation

Current Booking Info

(Displayed when using Stay Cleaning or Eco Cleaning)

  • Current reservation check-in date

  • Current reservation checkout date

  • Current number of guests in the reservation

Cleaning Information

  • Cleaner name

  • Cleaner's phone number

  • Date (cleaning day)

  • status

  • Cleaning type

  • Checkout date and time

  • Next reservation's estimated arrival time
    * "Check-in Premium" feature
    * Displayed if the guest has submitted an estimated arrival time

Hand Over From Last Cleaner

Handover memo from the cleaner who previously handled the room's cleaning.

Hand Over To Next Cleaner

Further notes for the cleaner assigned to clean the room next time.

Editable items

Add a cleaning task (create it manually)

If room cleaning is required in addition to the automatically generated cleaning tasks,

Create a cleaning task manually.

*Users with cleaner privileges cannot add cleaning tasks.

Click " Add a new task " to create a cleaning task.


Export (CSV)

The contents of the cleaning task list can be exported in CSV format.

Exporting the data allows you to share cleaning schedules and use them for management and analysis with external tools.

  • The exported data will reflect the same conditions (filter results) as the cleaning task displayed on the screen .

  • Users with cleaner privileges can also use CSV export.

    However, depending on your settings, unassigned cleaning tasks may also be included in the CSV file.

Check the logs

You can view the operation history for each cleaning task.
You can see who made what changes and when, which is useful for reviewing response history and troubleshooting.

How to operate

Click Actions [...] > [Log].

Available Information

You can view the following types of operation history (logs):

  • Status changes

  • Cleaner assignment / reassignment

  • Task creation and update timestamps


Frequently Asked Questions (FAQ)

Q. Can I manage photos before and after cleaning?

A. No, image or photo attachments cannot be managed.
If you need to store photos, please save them separately (e.g., in a drive) and share the URL in the comments section.

Q. Can cleaning tasks be deleted?

A. No, deletion is not possible.
If a task is no longer needed, please manage it by changing its status to “Cancelled.”

Q. Why is the next guest occupancy shown in the cleaning task different?

A. This is likely due to a system setting where the room’s maximum capacity is displayed when there are 4 or more days until the next check-in.
