[Check-in] Set up key-related information for the configuration facilities

[Overview]

This guide explains how to configure the settings so that guests can view "key-related information" after check-in using the site controller + PMS "Airhost HMS" and the self-check-in system "Airhost One."

To use this feature, the "Airhost One" Pro plan or higher is required.

  • To display Image ① after check-in, configure the text or file displayed for each item.

Setting up "Key-related information"

  • You can provide essential information for entering the room or any necessary guidance.

  • Guests can review this information on the guest form at any time they wish.

  • If entering the PIN (key, code, or PIN code) requires symbols in addition to numbers and letters, or if you want to explain the steps to unlock the door, providing this information in "Key-related information" will ensure a smoother check-in process.

  1. Go to the Management Console > Property List > Select the relevant property > Checkin Settings > Checkin Flow > Room Information. Click the ✎ Edit button and turn on "Enable."

2. Turn on "Can guests see the Key Information?" and click "Configure the Key Information for the property"

3. The edit page for "Key Information" will appear. Click the ✎ Edit button and enable the feature.

4. Choose the configuration unit from "Entire Property," "Each Room Type," or "Each Room," and save the changes.

(Note)
Once saved, the text or files will remain saved even if you change the configuration unit. However, the content does not automatically carry over to the new unit. You can revert the configuration unit to see the previously saved content.


5. Click the relevant ✎ Edit button and set the Information Type.

(Note)

  • If you change the information type and save, the previous text or file will be deleted.
    For example, if you initially set it as [Text and Attachment (PDF)] and change it to [URL] and save, the [Text and Attachment (PDF)] content will be erased and cannot be restored.

  • URL will appear as "View in Browser."

  • PDF will appear as "Download PDF."


6. Edit the content or upload the necessary documents based on the information type, then save the changes.

  • You can set standard texts in four languages: Japanese, English, Chinese, and Korean.

  • If the PDF is required, you must upload a document for each language.

7. Once setup is complete, click the ✖ next to "Key Information" to close the edit page.

8. Ensure the room information feature is enabled, and the "Can guests see the Key Information?" option is turned on, then save the changes.。
