【Check-In】Setting Up Video Chat for Identity Verification

Overview:

This guide explains how to enable video chat for identity verification during self-check-in. Guests can interact with staff via video chat on tablets installed at the front desk, providing a reliable method for identity confirmation.

Note: Using the video chat feature requires an AirHost ONE [Premium] license.

Details:

Step 1: Add a Front Desk Facility

To enable identity verification via video chat, you first need to add a front desk facility within your premises.

Navigate to [Admin Console] → select your property → [Settings] → [Facility Management] → [Add New Facility].

The setup page will open.

  1. Set the type to [Front Desk].

  2. Turn on the option [Receive video chat verifocation from AirHost One tablet?] and save.


Step 2: Download and Set Up the One Staff App

The video chat feature requires a dedicated app (One Staff) to receive video calls from guests. Install this app on the smartphones or tablets of the staff who will handle the video calls.

Search for "One Staff" on the App Store or Google Play and download it.

  1. Once downloaded, open the app.

  2. Allow notifications and microphone access, read the terms, and click [Agree].

  3. Log in with your AirHost account and click [Register New Device] on the setup screen.

  4. Select the facility and 'Front Desk' for the device that will receive video calls, then complete the setup.


Step 3: Set Up Check-In Devices

Specify which devices will be allowed for check-in.

Navigate to [Admin Console] → select your facility → [CheckIn Setting] → [CheckIn Flow] → [Can Checkin ?] and enable it. Choose whether to allow check-ins only on site tablets or if guests’ smartphones are permitted for self-check-in, depending on operational requirements.

Step 4: Configure the Guest Information Form

For video chat identity verification at check-in:

For domestic guests, collect either an ID card or a pre-taken selfie.

For international guests, collect a passport photo.

These items must be enabled in the guest information form: Navigate to [Admin Console] → select your facility → [CheckIn Setting] → [CheckIn Flow] → [Fill in Guest Information].

  • For domestic guests, set the 'ID or Selfie' as a mandatory item and save.

  • For international guests, set the 'Copy of Your Passport'as a mandatory item and save.

Step 3: Set Check-In Confirmation Items

To configure items to be confirmed at check-in, follow these settings:

Go to [Admin Console] → select your facility → [CheckIn Setting] → [CheckIn Flow]

Enable [Additional Verification at Checkin] and click [Configure Additional Verification Form].

You will be directed to the page to configure ID verification details: Set 'Selfie at Property' as mandatory and save.


Step 4: Enable AI Facial Recognition

An on/off switch for AI facial recognition will appear.

Turn it on, set the threshold for authentication and check-in permissions, and save to complete the setup.

Step 5: Enable Video Chat

To set up the items to be verified at check-in, proceed with the following settings:

Navigate to [Admin Console] → select your property → [Check-In Settings] → [Check-In Flow] → [Video Verification] and turn it on, then save. This completes the setup.
