[Channel Manager] Auto Payment Collection

Overview

From [Admin Console] > [Property List], select the property → [Channel Manager] > [Auto Payment Collection], this explains the steps to automatically charge the remaining accommodation balance to the connected payment account (Stripe or GMO (Fincode)).


Detail

Reservations Eligible for Automatic Payment

  • Reservations with prepaid card payments made through the AirHost Booking Engine.

  • Reservations with on-site payment via selected OTAs (excluding cases where another channel manager is used).

For OTAs such as Booking.com, Expedia, Agoda, Vrbo, Trip.com, which collect credit card information, you can add the OTA to the preferred channel type in the payment account settings. This allows the remaining accommodation balance for on-site payment to be automatically charged at the designated timing.


Setting Location

Go to: [Admin Console] > [Property List], select the desired property → [Channel Manager] > [Auto Payment Collection]


How to Set Up

1. Click Edit Payment Information and turn Enable on.

2. From Payment Account, select the payment account you want to use for auto payment collection.

⚠️ Please set up the payment integration in advance.
Click Link Property Payment Account to go to the setup page.

3. Set “How many days before check-in the guest should be charged”.
Options available:

  • 60 days to 0 days before check-in

  • 1-day delay

  • Only Authorize (No auto- settlement)

  • Charge immediately upon booking

⚠️ If automatic payment is set to “Only Authorize (No auto- settlement), the credit card payment will remain in a pending (authorized) state.

In this pending state, even if “Payment required” is enabled in the pre-check-in or check-in flow, the outstanding balance will be displayed as $0.

As a result, guests will be able to complete pre-check-in and check-in without making any payment.

4. Set ON / OFF for “Wait payment settlement after 24hours after booking
(Excluding last-minute booking made within 48 hours before check-in)".

⚠️ Please note: This setting does not apply to reservations made via the AirHost Booking Engine.

5. Only validate card number, do not authorize

⚠️ Please note:
When this setting is turned ON, the system will only verify the validity of the credit card information entered by the guest, and no authorization (pre-authorization) will be performed.

In other words, while the card details are confirmed to be valid, no amount is held on the card. As a result, there is a higher risk of payment failure due to insufficient available balance at the time of charging.

6. After completing the settings, click [ Save ].


Setting the Preferred Channel Type

Go to [Admin Console] > [Payment Account] and set the corresponding OTA as the [Preferred Channel Type].

For details, please refer to the help below.

💡 The [AirHost Booking Engine] option is not available under [Preferred Channel Types].

Automatic payments can still be processed by simply enable auto payments collection .
