[One Staff] Overview of the Mobile App and Download/Setup Instructions

This explains how to download and set up procedures for the One Staff app

The "One Staff" app for staff is a mobile application developed exclusively for AirHost users in the hospitality industry. It allows staff to handle tasks such as guest services and cleaning while on the go using their smartphones or other mobile devices.

Here, we will explain what you can do with the One Staff mobile app, as well as the download and setup procedure.

Main features of the One Staff mobile app

Check-in Management

You can view reservations and guests scheduled to check in on a specified date, as well as edit room information.

Message support

You can view and reply to messages with guests.

Check the booking calendar

You can check reservations and availability in real time.

Check the cleaning calendar

You can review the cleaning calendar, edit cleaning tasks, add new tasks, and assign them to cleaners.

To-Do List Management

You can view, edit, and create to-do lists.


*Note: This feature is available with the AirHost ONE HMS (Premium Plan)

Video chat calls & internal calls

  • When a guest checks in using a tablet, staff can receive a video call for identity verification.

  • Internal calls can be made and received between staff using the One Staff mobile app.

  • Internal calls can also be received from front desk tablets and room tablets.

*Note: This feature is available with the "Check-in Premium" plan.

Order, Reservation and Table Management

You can confirm and cancel POS orders, record payments, and manage tables at each property, such as room service and restaurants.

Supported Operating Systems

  • iOS: Version 15.6 or later (Compatible with iPhone, iPad, and iPod touch)

  • Android: Version 5.0 or later

⚠️ Some older devices or OS versions may not function properly.


Usage Fee

To use the One Staff mobile app, the following fees apply:

Monthly fee: 1,000 yen/user

Note: If you are only using the video chat feature (included in the “Check-in Premium” function), this fee does not apply.


Available user permissions

Users with the permission type "View Only (Owner Access)" cannot use the One Staff mobile app.

Users with other roles (account owner, admin, manager, staff, cleaner) are eligible to use the One Staff mobile app.


App setup steps

Step 1: Purchase a subscription (license)

From the [Subscription Purchase/Change] page,

Please purchase the necessary number of [ One Staff mobile apps (¥1,000/user/month)].

Step 2: Allow App Usage

Only users with access to the Admin Console (account owners, admins, and managers) can perform this operation.

In [Admin Console] > [ User Management ], you can grant users permission to use the One Staff mobile app.

Please enable usage of the One Staff mobile app using either of the following methods:

  • Turn on the [One Staff App] toggle switch or

  • Click [⋯] > [Allow use of One Staff App]

Step 3: Download the app

Search for " One Staff " in the app store ("Google Play" for Android / "App Store" for iOS) and download it.

Or you can access it directly via the link or QR code below.

Step 4: Open the app and log in

Open the downloaded app and agree to the Terms of Service.

When the login screen appears, enter your login information and click [LOGIN].

For Username, please enter your registered email address.

Step 5: Set the Device Name, Management Mode, and Managed Properties

[Device Name] : Set any name you like for the device.

[Mode of management] : Please refer to the table below.

B&B Mode(multi-property)

This is the mode typically selected.
It allows you to use part of the AirHost ONE HMS features—those you usually access via a browser—within the mobile app.

Hotel Mode(one hotel)

Hotel model (single property)

Select this mode when using AirHost Check-in Pro or higher in conjunction with check-in/out and POS functions, specifically for a single staffed hotel or ryokan.
For example, it allows staff members to use features tailored to their roles, such as front desk or restaurant duties. Internal calls between staff (intercom) are also supported.

※ If the facility is not subscribed to the Check-in (Premium Plan), reservation management will not be available. If you need to manage reservations, please select B&B Mode instead.

 

[Target] : Select which facility within the selected property you will manage.

※ This setting is only required when Hotel Mode (single-property) is selected.

This completes the login and setup for the One Staff mobile app.


How to change the display language

You can change the language from the settings page.


How to Change Management Mode or Managed Property

Please log out from the Settings page and log in again to update your management mode or managed property.


How to Stop Using the Service

Please log out of the One Staff mobile app and uninstall the app.

After that, please refer to Step 2: Allow the app to be used and remove the user's permission to use the app.

If you are logged in to the same user account on multiple devices and want to stop a specific staff member from using the One Staff mobile app, or if you want to delete an unused device, you can force log out by deleting the device from device management. (There is no function to prevent re-login, so if you do not want to log in again, please change the password for the user account.)
