[Check-in] Additional Verification at Check-in (Identity Verification, Signature)

[Overview]

The Additional Verification at Check-in feature in the Check-in Flow allows you to collect additional identity verification information, signatures (electronic signatures), and optional information during self check-in, separately from the information collected through the Guest Form.

You can configure an authentication flow according to your property's operations, such as requesting a selfie taken on-site for identity verification, an electronic signature, or supporting documents.

This feature is displayed only during self check-in. Guests cannot submit this information in advance through the Guest Form.

Before Using the Feature

Additional Verification at Check-in (Identity Verification, Signature, etc.) is a feature displayed when using self check-in (Web page / tablet).

To use this feature, self check-in must be enabled for the applicable property.

Go to [Management Console] > [Property List], select the applicable property, then go to [Check-in Flow] > [Check-in Availability by Device] and confirm the following:

✅ The setting is enabled (ON)

✅ The devices you want to use are selected

Note: If the above settings are disabled, self check-in cannot be used, and therefore this feature will also be unavailable.


Accessing the Settings

Go to [Management Console] > [Property List], select the property, then select [Check-in Flow] > [Additional Verification at Check-in].


Configure Additional Verification at Check-in

  1. Click the Edit icon.

  2. Turn the [Enable] switch ON.


Configure the On-site Identity Verification Method

Under On-site Identity Verification Method, you can select from the following three options.

Setting

Description

No Authentication

No identity verification is performed on-site.

Selfie Taken On-site

Guests submit a selfie taken on-site during check-in. You can also specify the applicable guests (international guests / domestic guests).

AI Face Recognition (Add-on)

Automatically verifies the guest's identity by comparing the selfie with the identity document.


Configure Identity Verification Using a Selfie Taken On-site

This setting requires guests to submit a selfie taken on-site during self check-in.

1. Select [Selfie at Property] under [Onsite Identity Verification Method].

2. Select the [Selfie Requirement Scope].

The following options are available:

  • Required

  • Optional

  • Main Guest Only

  • Foreigners:Required/ Locals:Main Guest Only

3. Click [Save].

Display During Check-in

The following is an example of how the screen is displayed to guests during check-in. (In this example, optional items and signatures are enabled.)

Guests take a selfie and enter any required information, if applicable, then click [Save] > [Complete].


Add Optional Information Collection Items

This feature can be used when you need guests to confirm certain information, provide guidance, or receive information in advance during additional authentication.

1. Click [Configure Additional Verification].

2. Click [+ Add Customise Fields].

3. Select the [Type] (response format).

Type

Response Format

Text

Enter free text.

Text (Multiple Lines)

Enter free text over multiple lines.

Attachment

Attach an image (JPG or PNG).

Checkbox

Select the checkbox.

Yes or No Question

Select either “Yes” or “No.”

Content Block

No response required. Use this as an information or description field.

4. Set [Required] (applicable guests) to one of the following options:

  • Required

  • Optional

  • Main Guest Only

5. Enter the information to be collected in [Title], then click [Save].

Multilingual support is available for Japanese, English, Traditional Chinese, Simplified Chinese, and Korean.

Display During Check-in

Example: Content Block → Checkbox → Text from top to bottom.


Configure Electronic Signatures

Under [Do you need to show Signature?], you can configure who is required to provide an electronic signature during self check-in.

Setting

Description

Required

Requires all guests to provide an electronic signature.

Optional

Displays the electronic signature field, but a signature is not required.

Main Guest Only

Requires only the main guest (primary guest on the reservation) to provide an electronic signature.

Hidden

The electronic signature field is not displayed.


About AI Face Recognition

The AI Face Recognition feature is also available in the Additional Authentication menu.

AI Face Recognition verifies the guest's identity by comparing the submitted identity document with a selfie taken on-site.

Note: AI Face Recognition is available as part of the Check-in Premium Plan.
