[Check-in] How to set up the GPS Verify Location function

Overview

This explains the feature that uses the guest’s device location service (GPS) to confirm whether they have arrived at the property.

(Arrival Confirmation = Location Verification, GPS Check)

To use this feature, you will need to add on our Guest Experience Check-in Pro Plan or Premium Plan.

Feature Description

Enabling “Verify Location” makes it mandatory for guests to be physically present at the property on the day of check-in. Additionally, guests must have the location services (GPS) turned on their devices.

If the guest’s device GPS is off:
Check-in will not be possible, which may result in inquiries directed to you. As a precaution, please advise guests to enable location services in advance.

Using automated messages to inform guests that:

  1. Check-in on the day will use the device’s location services, and

  2. They need to turn on location services to check in

…can help ensure a smooth check-in process. You can use this information as a reference to explain the check-in and arrival confirmation procedure to guests.

Note:
Currently, if GPS is unavailable, verification via Wi-Fi (app only) is not supported. Thank you for your understanding.


How to set it up

1. Admin Console ≫ Property List ≫ Select the desired property
≫ Check-in Settings ≫ Check-in Flow ≫ Arrival Confirmation.

2. Click the Edit ✎ button and set Enable to On.

3. Set the distance from the property address within which check-in is allowed.

Note: The recommended distance is 500 meters .

*For example, if you set it to x meters, errors may occur depending on the GPS accuracy of the guest’s device.

(Property Address = The address registered under Property Details ≫ Basic Information)

4. Click "Save" and the settings are complete.

Check-in Day – Verify location Procedure

  • Guests will use their own devices to complete the check-in.

  • Introducing the following steps to guests in advance can help ensure a smooth check-in process. Please feel free to use this as a guide.

1. Open the Guest Form (Pre-Check-in URL) and proceed with the check-in.

2. As you proceed through the check-in flow—such as by entering the guest registration information—the “Verify your Position” page will be displayed.

3. The system uses the location service (GPS) of the guest’s device to verify whether they have arrived at the property.

If the arrival has not yet been confirmed, a “Check Position” button will appear — please click it.

*The actual screen does not have any mosaic (blur) applied.

How to Handle Situations When the Guest Cannot Complete Arrival Confirmation

If arrival confirmation fails, an “Authentication Failed” error message will appear.

Please check the following points, then click “Verify position one more time” to retry verification:

  • Is the location service turned on?

  • Are you within the allowed distance from the property? (The required distance is shown in the error message.)

For iOS devices

By default, the page usually opens in Safari.

  1. Location: ON → Check-in works normally.

  2. Location: OFF / Blocked → Verification fails.
    → Reopen the page and set Location to ON → Check-in works normally.

For Android devices

By default, the page usually opens in Chrome.

  1. Location: ON → Check-in works normally.

  2. Location: OFF / Blocked → Verification fails.
    → Even if you reopen the page, once blocked, the setting may persist.

Therefore, try the following:

  • Use Chrome’s Incognito Mode.

  • If the issue persists, clear the browser cache.
    (Refer to the instructions on how to clear the cache.)

  • Alternatively, try opening the page in a different browser.

3. If the guest’s location is within the distance range set for the property, a “Next” button will appear. Click it to proceed to the next step.
