[POS Settings] Creating / Managing Inventory for “Reservation Product” Products

Overview

This article explains how to create a Reservation Product.

To use this feature, you must be subscribed to AirHost Check-in (Premium Plan).

[Reservation Product] How to create a product

1. Go to [Admin Console] → [Property List] → select the relevant property → [POS Setting] → [Reservation Products], then click [Add New Reservation Product].

2. Enter the product details.

*Internal Name (for management)

The product name displayed in the HMS.
(Not shown on the guest screen)

*Product Name

The product name displayed on the guest ordering screen.


Note: The default language is English. To add Japanese or other languages, click the “+” to the right of English.

Description

Product description

Unit Name

Unit of measure.
Example: For items counted as 1 bottle, 2 bottles → “bottle”

Additional Information

Enter any supplementary information not included in the “Description” field.

PDF files can be uploaded

Business Address

Enter the location if you want to include it

Tags

Labels used to categorize products. Multiple selections are allowed.
(You can customize labels by clicking the “Manage Tags” button.)

Product Image

An image displayed on the guest ordering screen.

3. Set the Price

  • If the item is free, set the price to $0, as shown in the image.

  • Since time slots will be configured later in [Variation Settings], determine the price according to your setup, such as setting a rate per hour.

  • For tax settings, please refer to the help page below:

4. Enter the Variations and Time Frame, then proceed to the next step.

How to Register Variations

1. Turn ON the days of the week you want to enable.

2. Enter the time frame and set the stock.

* To create multiple time slots for the same day, click +.

* To reduce/remove a time slot, click .

Batch Add

1. If the time frame are the same for all days, the Batch Add feature is convenient.
Click the Batch Add button, and the menu shown in the image below will appear.

2. Select the days of the week for which you want to create time slots, then enter the time slots and inventory.

If you set the Repeat Interval (minutes), time slots will be automatically created from the specified start time to the end time at the chosen interval.

If the input is not complete

An error message “Please enter a time slot” will be displayed.

Please delete any unentered time slots, or enter the correct time, then click [Next] to proceed.

5. Set the rules for ordering.

Maximum Quantity Per Order

Unlimited, 1-10

In a single order, guests cannot order more than the number set for this product.
For guests with a hotel reservation, the order quantity cannot exceed the number of staying guests.

Maximum Orders Per Day

Unlimited, 1–10

Guests cannot place more orders than the number set per day.

Minimum days in advance

Unlimited, 1–30

Example: If set to 2 days and a guest wants to make a reservation for May 12, they can place the order up until May 10.

Hotel Guest Restrictions

Special restrictions for guests with the hotel reservation

Only available on the day of check-out

Only the check-out date will be shown as a selectable option. Other dates will not be displayed.

Available on the day of check-in

The check-in date can be shown as a selectable option.

Available on the day of check-out

The check-out date can be shown as a selectable option.

Can not exceed the number of guests

Reservations or orders cannot exceed the number of guests staying.

This rule takes priority over the “Maximum order quantity per order” setting.

Setting behavior

Only check-out date is displayed as an option

Displays the dates of stay excluding check-in and check-out dates as options (no options for those booking one night)

[Example] Reservation for 2 nights and 3 days from December 1st to December 3rd

6. Product creation completed  

Check the list to confirm that the product status is set to “Active”.

  • If you do not want to make the product available yet, set the status to “Inactive”.

・Click […] > View Details to open the product details screen.

・From the view details screen, you can review and edit the product settings.


Inventory Management for Reservation Products

  1. Go to POS Settings > Reservation Products, click […] for the relevant product, and select View Details.

  2. Open the Variations menu.

* You can edit the original inventory and time slots in the Weekly Time Settings / Variations.

* In Time Frame Settings, you can adjust the daily inventory and enable/disable specific time slots.
