[Hotel Products] Adding Additional Charges / Price Adjustments / Payments to Accommodation Fees

Overview

If you need to add extra charges such as late check-out or minibar usage, or make price adjustments including refunds, you can use the Hotel Products feature.

The steps below explain how to add hotel products via the Admin Console and how to add them to reservation details.


Details

Adding Hotel Products

Items added as new billing items, such as late checkout or minibar, are defined as "charges." Items used to adjust charges, such as refunds, are added as "adjustments."

  1. Go to Admin Console → Hotel Products → [Add New Hotel Product].

  2. Fill in the product details:

Type: Charges

Type: Adjustment

Internal name

A name for management purposes only; not shown to guests

Type

Charges: For new charge items like late check-out or minibar
Adjustment: For refunds or price adjustments

Category

(Charges type only)

Meals or Other

Price

(Charges Type)

Default amount applied when used in transaction details; adjustable manually; must be ≥ $0.10

Price (Type: Adjustment)

Default adjustment amount; can be 0 or negative; adjustable manually

Selected Tax

Select from taxes created in Account Settings → Tax Settings → Add New Tax → Add Product Tax

・Tax amount is calculated automatically

Name/Description

Can be set in English, Japanese, Korean, Traditional Chinese, Simplified Chinese; description for internal notes only

3. Click [Save] to create the hotel product.

Adding Hotel Products to Reservation Details

  1. Go to Dashboard → Booking Calendar or Check-in Management → Open Reservation Details, then click [Transaction].

2. Click [Add Transaction].

3. Select either Additional Fee or Price Adjustment.

4. Fill in the item details and click [Save]

Select from the list of products created in the "Hotel Product"

Default hotel product price is applied; can be adjusted manually

Recognition Date

・You can specify the date on which additional charges will be calculated.

・Dates that can be specified are from the check-in date to the check-out date of the reservation.

- Reflected in daily export data daily data export data

Total

The total amount (quantity x price)/tax included is automatically reflected

Field for Price Adjustment

Description

Name

Select from the list of products created as Type: Price Adjustment

Price

Default hotel product price is applied; can be adjusted manually

Recognition Date

・You can specify the date on which additional charges will be calculated.

・Dates that can be specified are from the check-in date to the check-out date of the reservation.

- Reflected in daily export data daily data export data

Total amount

・Price is reflected

5. The added hotel product is now reflected in the transaction details.

 

6. Click the blue text in the transaction details to open and review the order details.

Add a Payment

This feature allows you to register the amount actually collected as a payment for charges generated by adding hotel items, in order to settle the outstanding balance (payment balance).

1. Go to [Dashboard] > [Booking Calendar Calendar] or [Check-in Management], open the reservation details, and click [Transaction].

2. Click [Record a Payment].

3. Enter the following details:

Amount

Enter manually or click [Pay In full] to auto-fill the current unpaid balance

Payment Account

Default options include Property Payment, OTA Points, Credit Card, Bank Transfer, Cash Payment; select one

Remarks

Internal notes only; not shown to guests

4. Click [Save]

5. Payment is recorded and the unpaid balance is updated.

 


Deleting Hotel Products

As of November 2024, hotel products cannot be deleted by users.
If you wish to delete a product, please contact support with the product name you want removed.
