[Setup Procedure] Purchasing and Activating a Subscription (License) & Updating Registered Credit Card Information

This section explains the procedure for purchasing and activating a subscription (license).

The license purchase method described below is available only to users with Owner privileges.

If you are currently using AirHost and considering purchasing additional licenses, please review the relevant information for your user role.

Migration from the Old System to the New System

If you have purchased a subscription (license) under the old Airhost HMS system, you will need to migrate to the new system. Please contact support.

Please contact support if any of the following apply to you:

  • You are using an account with an annual payment (bank transfer), monthly invoice payment, or direct debit.

  • You cannot log in with the Owner user role because you forgot your login ID

  • You would like to confirm the estimated price in advance.

  • You have Owner user permissions, but the [Subscription] option is not displayed.


How to purchase a subscription (license)

1. Click Admin Console » Account Settings » Subscriptions » Subscriptions » Purchase Subscriptions.

2. Select [Monthly] under [Payment Cycle], the desired plan under [Plan] under [Package], the total number of rooms for all listings under [Managed Inventory], and the number of add-on licenses you plan to use.

Contract content example 1

1 building, 2 rooms

① Site controller + PMS AirhostHMS (Lite plan) for 2 rooms

②If you sign up for AirhostOne Check-in (Lite Plan) for 2 rooms

License purchase example

①AirhostHMS Lite Plan × Up to 3 package (1 to 3 rooms are for 3 package)

②Check-in Lite x 2

Unlike Add-on, Airhost HMS [Site Controller + PMS] only allows one plan to be selected per account. (You can choose one plan from Lite, Pro, or Premium.) Different plans cannot be used together in the same account.

Contract content example 2

1 building 3 rooms - 1 building 1 room - 1 building 1 room Total 3 buildings 5 ​​rooms

① Site controller + PMS AirhostHMS (Pro plan) for 5 rooms

②AirhostOne Check-in (Premium plan) 5 rooms

License purchase example

①AirhostHMS Pro plan × 5

② Check-in Premium x 5

③IoT lock integration x 3 (optional function/can select facilities to apply)

(You purchase licenses by the number of rooms, not the number of buildings.)

3. Please confirm that the [Total Amount] displayed at the bottom right of the screen is the same as the estimated amount.

4. Click Save in the top right.

5. You will be redirected to the registration screen for the card information to be used for payment. After entering your card information, click [Apply].

・The email address is the login ID for the AirHost account and user authority: Owner

・When you register, payment will be made. Please proceed with caution.

・If the total amount increases due to a typing error, we cannot provide a refund according to the terms and conditions. Please settle the payment based on the number of licenses you registered for the first month only, and adjust the number of licenses for the next month.

・We regret that we cannot accommodate refund requests due to forgetting to set up a downgrade.

Check license invoices and receipts

6. You will be redirected to the Airhost screen and your subscription registration will be completed.

Red frame

Since the cycle starts on the day you register, the [Next billing date] will reflect the date one month after you register.

Yellow frame

To check the details or issue a receipt, please click [Check invoice/receipt].


Activate

1. Click Admin Console > Account Settings > Subscription > Activate.

2. Click the [Property] pull-down menu and select the appropriate facility name.

[Total number of rooms] is based on the information provided when the facility was created.

*If you are manually entering the number of rooms for a facility with 20 or more rooms, please enter the number after the volume discount. Example: If you are managing 25 rooms ⇒ Enter "21" after the volume discount for the number of rooms at the time of activation .

3. Click the ✎ button for each license, turn on [Enabled], and then click [Save].

Repeat this process for each license you wish to activate at that facility.

4. All changes have been enabled and activation is complete.


Plan upgrade/downgrade/option change

AirHost ONE HMS [PMS + Site Controller] Upgrade

・If you upgrade, you can use the features immediately.

・The difference between the current plan and the daily rate will be charged immediately from the purchase date to the next payment cycle. The new rate will be charged from the next payment cycle.

AirHost ONE HMS [PMS + Site Controller] Downgrade

・If you downgrade, the changes will be applied to the next month's license.

- There are no refunds for downgrading. You will be able to use the features of the plan you purchased until the next billing cycle.

Add-on: Check-in Upgrade

・If you add an option, you can use the function immediately.

- The daily rate from the purchase date to the next payment cycle will be charged immediately.

・Add-ons: When it comes to check-in, you need to be careful when upgrading = switching plans.

(Example) If you want to change your check-in options from 1 Lite to 1 Pro, the 1 Lite already paid for will not be refunded. You will be charged for 1 additional Pro. (The daily rate from the purchase date to the next payment cycle will be charged immediately.) We recommend that you change your check-in options as close to the end of the payment cycle as possible.

Add-on: Check-in Downgrade

・If you downgrade, the changes will be applied to the next month's license.

- There are no refunds for downgrading. You will be able to use the features of the plan you purchased until the next billing cycle.

-Add-ons: When it comes to check-in, you need to be careful when downgrading = switching plans.

(Example) If you want to change your check-in options from 1 Pro to 1 Lite, the 1 Pro already paid for will not be refunded. You will be charged for 1 additional Lite. (The daily rate from the purchase date to the next payment cycle will be charged immediately.) We recommend that you change your check-in options as close to the end of the payment cycle as possible.

Other Add-ons

・If you add an option, you can use the function immediately.

- The daily rate from the purchase date to the next payment cycle will be charged immediately.

- There are no refunds for downgrading. You can use the number of features you purchased until the next billing cycle.


How to change your registered credit card

1. Click Admin Console » Account Settings » Subscriptions » Subscriptions » View Invoices and Receipts.

2. Click Add payment method and add your card details.

3. Click [... ]≫[Make default] on the newly added card.

4. You can then delete the card that is no longer the default.


If you pay by bank transfer

*It takes 1 to 2 months to register for automatic transfer. Please pay by credit card or bank transfer until registration. Charges for the period until transfer registration will be calculated on a pro rata basis.

*Please note that we do not provide refunds after the amount has been confirmed, nor do we accept pro rata billing.

*When canceling, please complete the cancellation procedure by the day before the license confirmation date of the previous month.


A credit card payment/license card error has occurred

"Stripe was unable to automatically process the invoice. Please fix your payment here to avoid any interruption in service after [due date]."

If you see this message, you will need to complete 3D Secure authentication for your credit card. Click "Fix your payment here."

Click on "Amount due."

On the payment method confirmation page, select Credit card and click Continue.

Click "COMPLETE" to complete the 3D Secure authentication.

If you are unable to complete the authentication process, it may be due to incorrect card information, expired card, insufficient balance, etc. Please try registering a different card.
