Overview

This guide explains how to view, configure, and manage Room Types, Rooms, and Reservation Management settings for each property in AirHost.

Room Type–related settings define how rooms are structured, displayed to guests, and partially synced with OTAs.

Please note that available features depend on the plan you have purchased, and some settings may not be available for all users.

Room Type

A room type is a setting used to categorize the different types of rooms within a property.

Example: Single Room, Double Room, Deluxe Room, Family Room etc.

Note: Even for apartment-type properties with only one room per building, registering the room is still required.

Room Type	Room Type (Internal Name)
Room Style	The available styles are as follows: Regular Room: Standard room type Dorm Room: Used when selling by bed 💡 If you want to sell a dormitory-type room, the license will need to be configured according to the number of beds. Booking Style	Available reservation types Accommodation reservations: Accommodation reservations can be assigned Day trip reservations: Day trip reservations can be assigned
Number of rooms	Number of rooms belonging to each room type
Check-in/Check-out	Check-in/check-out times for each room type
Action	Edit/Delete Room Type

💡 Regarding items synced with Vrbo: Data is automatically retrieved from Vrbo once per day, so AirHost cannot track the exact timing of updates. Please be aware of this limitation.

Internal Name	The name of the room type used for management purposes. 💡 For apartment-type properties, it is common to use the facility name. 💡 Normally, the internal name is not shown to guests. However, if no name is entered in the Summary field for the guest’s language, the system will use the internal name in automatic messages ([room_type]) and the guest-facing page. Display priority: Summary name matching the guest's language English Summary name if no match Internal name if neither of the above is set
Room Type Name	The name displayed to guests. Linked only to Vrbo; not synced to other OTAs. 💡 For apartment-type properties, using the property name is common. 💡 To edit the room type name used in the AirHost Booking Engine, please do so from the Booking Engine settings screen.
Booking Style	Choose between Nightly Booking or Day Booking **Not synced to OTAs*
Room Style	Select from Regular Room / Dorm Room/ Connected Room If the room does not belong to Dorm Room or Connected Room types, choose Regular Room **Not synced to OTAs*
Check-in	Check-in time Defaults to the facility’s set check-in time **Not synced to OTAs*
Check-out	Check-out time Defaults to the facility’s set check-out time **Not synced to OTAs*
Occupancy	Enter the maximum number of guests the room can accommodate (max occupancy)
Bedrooms	Enter the number of bedrooms **Synced only to Vrbo*
Bathrooms	Enter the number of bathrooms **Synced only to Vrbo*
Room Size	Enter the total area of the room in square meters **Not synced to OTAs*
Minimum Price	You cannot set a price lower than the minimum price defined in the Price Calendar or Default Price Settings of the price plan. This prevents accidental underpricing.
Cleaning Fee	The following items are only synced via OTA. AirHost Booking Engine Vrbo Google Hotels/Private Lodgings 💡For Airbnb, please set it up from the content management screen: [Airbnb-related] Content Management 💡 If you want a separate cleaning fee on other OTAs, set it on the OTA side. 💡 For OTAs that do not support a cleaning fee (e.g., Jalan, Rakuten Travel), add the cleaning fee to the base rate in the synced price plan.
Bed Configuration	Set the type and number of beds **Synced only to Vrbo*

Room Unit

How to Access

Admin Console >> Property List >> Select the property >> Room Management >> Room Unit

Rooms refer to the actual individual rooms that are associated with each room type.

For example: Room 201, Room 201, etc.

Even for apartment-style properties with only one unit in the building, registering a room is required.

Room number	The name or number assigned to each room.
Room Type	The name of the room type to which the room belongs.
Part of Room	If a parent-child listing (connecting room) is set up, the associated parent room type name will be displayed.
Consist of Room	If a parent-child listing is set up, the room numbers of the associated child rooms will be displayed.
Actions	Edit a room/Delete a room

Room number	Enter the number or name of each room. This will be displayed to guests. Text input (not limited to numbers) is allowed. 💡 For apartment-type properties, it is common to enter the property name.
Room Type	The room type to which the room belongs. 💡 This field cannot be edited here.
Key Instruction URL	If the `[key]` tag is set in a message or automated message, the URL or text entered here will be automatically inserted. Useful when providing different key handover instructions for each room.
Key Code	If the `[lock_code]` tag is set in a message or auto message, the text entered here will be automatically inserted. Useful when providing room-specific key or lock instructions. Only numbers and alphabet characters can be entered. If using IoT lock integration, leave this field blank as it will be automatically reflected.
Room Manual	If the `[room_manual]` tag is set in an auto message, the text entered here will be automatically inserted. Useful when different rooms have different manuals (instead of a single manual for the entire property). You may also upload a PDF (e.g., house rules), convert it into a URL, and paste the URL into the [Room Manual] field.
Is this a Composed Room?	Turn this ON when the room inventory consists of multiple combined rooms (e.g., connecting rooms), and specify the included rooms. If a reservation is made for a child room, the parent room inventory will automatically close. If a reservation is made for the parent room, all child room inventories will automatically close. 💡 To use this feature, you need to purchase the AirHostONE HMS premium plan.

How to Access

Admin Console >> Property List >> Select the property>> Room Management >> Pre-order Management

Auto Arrangement Settings	This feature automatically assigns rooms to reservations.
Auto Arranged to Vacant Rooms	If you enable this setting, reservations confirmed after that date will be automatically allocated to available rooms.
Optimize Room Assignment	By turning on "Optimize Room Assignment," room allocation will be rearranged once a day. This typically occurs during early morning hours (approximately 2:00 AM – 5:00 AM). The system optimizes assignments to minimize gaps between reservations, arranging them as efficiently as possible (similar to Tetris or a puzzle). Rooms that are manually fixed will not* be moved during this optimization.
Balance Usage	When enabled, the system will automatically allocate rooms based on availability during the specified period, ensuring more even room utilization, preventing uneven room utilization and helping to maintain the property. 💡 To use this feature, you need to purchase the AirHostONE HMS premium plan.
